FAQs IAAPA EMEA Trade Summit

What is IAAPA EMEA Trade Summit?

IAAPA EMEA Trade Summit is a new event format for the global attractions industry which combines trade show, education programme and networking opportunities. The first edition is taking place at Europa-Park, Germany from Feb. 02-04, 2021.

Is it safe to attend IAAPA EMEA Trade Summit

The health and safety of IAAPA EMEA Trade Summit attendees, exhibitors, sponsors and the event team is our number-one priority. We are working closely with our partner Europa-Park to ensure we present an event that meets all recommended health and safety requirements. IAAPA EMEA will follow the latest guidance and recommendations for large groups and meetings from the local German council, Baden-Württemberg.

In addition, IAAPA EMEA will provide masks and ensure sanitizing stations are available in various areas of the event. To ensure COVID-19 regulations are met, IAAPA EMEA has organised crowd management via rotation groups and will re-evaluate the situation early 2021.

Can I transfer my confirmed tickets to a fellow colleague?

In order to guarantee a maximum level of flexibility, confirmed attendees can transfer their tickets to one of their fellow colleagues within the same company. Please contact [email protected] mentioning your registration number including original attendee name as well as the replacement’s attendee name, job title and email address.

What is the cancellation and refund policy?

Cancellation and refund policy: Attendees

We understand that the fast-changing circumstances related to COVID-19 regulations make a constant review of cost and travel commitments necessary for everyone. IAAPA will confirm the status of IAAPA EMEA Trade Summit by latest Wednesday, 6 January 2021.

In case IAAPA decides to cancel the event, a full registration fee refund will be applied.
In case attendees decide to cancel their participation, IAAPA will assess cancellation requests on a case-by-case basis and ensure that cancellation fees are due in the amount of actual costs incurred only.
Please note that in the event of cancellation due to government-induced travel restrictions, attendees will be fully refunded if and only if, they can prove that their government has changed the travel regulations after their booking.

Refund requests must be received in writing to [email protected].

Cancellation and refund policy: Exhibitors

Please see further details in regard to the IAAPA EMEA Trade Summit cancellation policy for exhibitors in the exhibit contract.

Will IAAPA EMEA require attendees to wear masks during IAAPA EMEA Trade Summit?

As of April 27, 2020, Baden-Württemberg issued a mandatory mask order in all public areas. IAAPA will also require masks to be worn at all official IAAPA EMEA Trade Summit functions. This will also include access to the Confertainment Center (Dome, Arena, Berlin and lobby), all shuttles and functions outside the Confertainment Center (EDUTours).

Will IAAPA EMEA be providing masks?

IAAPA will have masks available at registration.

What will my programme look like?

In order to ensure COVID-19 regulations are met, IAAPA EMEA is obliged to organise guest flows via rotation groups and will continuously evaluate and adjust the situation until the event takes place.

For further details, please see the status quo draft schedule at-a-glance for attendees, exhibitors and attendees/exhibitors combined.

How many EDUTours and EDUSessions will be available?

Your package includes one EDUTour and one EDUSession that will need to be prebooked by mid-December.

Attendees will be able to choose between four different EDUTours and four EDUSessions. From Nov. onwards, we will reach out to you to select one of each format.

Exhibitors will be able to choose between two EDUTours and one EDUSession. From Nov. onwards, we will reach out to you to select your preferred EDUTour.

In order to ensure COVID-19 regulations are met, IAAPA EMEA is obliged to organise guest flows via rotation groups and will continuously evaluate and adjust the situation until the event takes place.

What is included in the Exhibitor Package?

Registration for exhibitors will open on Sept. 21, 2020.

The exhibitor package includes one turnkey 2x3m booth, power supply, wall panels, company name board, 3 spotlights, one socket and furniture.

It also includes two-night stay in one of Europa-Park's four-star hotels (including special exhibitor hotel room upgrade), full-day catering (2 x breakfast, 2 x lunch, 2 x dinner, soft drinks and evening drink packages), Welcome reception and the access to 1 x EDUTour, 1 x EDUSession and 2 x Keynote Session.

I am a non-exhibiting manufacturer & supplier, can I attend the event?

As IAAPA member non-exhibiting manufacturer & supplier, you are invited to attend IAAPA EMEA Trade Summit. To keep a balanced ratio between suppliers and operators, and to avoid suitcasing, IAAPA member non-exhibiting manufacturers & suppliers are allowed to attend in limited capacity for the price of 1.720€ (excl.VAT) per person. Please also note that only one attendee per company is  allowed in this category. Your package will be identical to the attendee package.

If you are an IAAPA nonmember manufacturer & supplier, you are only allowed to participate as exhibitor. Please contact our Exhibit Sales Team for more information on pricing and booth availability by email via [email protected] or by phone via +32 2 535 7721. IAAPA EMEA Trade Summit is a business event and by such, is not accessible to attendees under 18 years. The summit programme access is limited to attendees and exhibitors only. Please note that due to the current COVID-19 regulations and while IAAPA’s goal is to create a healthy ration between suppliers and operators, participation of spouse/partner is subjected to availability. An attendee fee will be charged.

I would like to share my room, what should I do?

If you wish to share your room with another attendee, please contact Katia Malnati via [email protected]. Given the fact that the price difference for double room usage is insignificant, please note there will be no fee reduction on your package if the room is shared.
