2009 CALL FOR PRESENTATIONS

IAAPA Speakers’ Guidelines

Please carefully review the following information and guidelines for speaking at the 2009 IAAPA Attractions Expo in Las Vegas. This new location brings new opportunities and some exciting changes, including our pledge to “Go Green” and provide only paperless supplemental materials for our Education Sessions. All prospective 2009 speakers should familiarize themselves with this information.

What IAAPA Expects from Attractions Expo Speakers

  • Provide electronic versions of appropriate notes, slides, handouts, and/or other supplemental materials related to their session to IAAPA to be posted online for members and attendees to access. Materials must be provided to IAAPA in advance so that PDF versions can be made available to attendees during the Expo.
  • For sessions with multiple speakers, a “Lead” speaker should be designated. This person will be the primary contact person and coordinator for the session and will facilitate communications between IAAPA and all of the session’s speakers.
  • Sessions should include a maximum of four (4) speakers per 75 minute session.
  • In accordance with IAAPA policies speakers presenting at the IAAPA Attractions Expo are not permitted to present at, participate in, or support other commercial or fee-based events held in the same city (Las Vegas, NV or surrounding area) during November 15 – 21, 2009. .
  • Speakers at IAAPA educational sessions are expected to provide educational presentations with minimal commercial influence.
  • Speakers grant IAAPA permission and rights to have their session recorded and made available through our website and publications.  If a speaker does not want their session recorded they must notify IAAPA’s Education Department in writing prior to the start of the Attraction Expo.
  • Speakers should strive to adhere to the general timeline outlined in the information below.

What Speakers may Expect from IAAPA

  • IAAPA will notify everyone submitting under the Call for Presentations by April 30, 2009 to advise them if their session has been selected for inclusion in the 2009 Attractions Expo.
  • IAAPA will provide the audio/visual equipment for each session. This will include: a computer (with DVD drive & USB ports) connected to a projector & screen, a speaker’s podium with microphone, table with microphones and a wired lavaliere microphone.
  • IAAPA will provide attendees with access to electronic versions of the supplemental materials (including PDF versions of presentations, handouts, notes, etc) which are provided to IAAPA by speakers. IAAPA will promote a “green” Expo and will not print or distribute printed materials.
  • IAAPA will strive to promote and acknowledge speakers and their sessions through the IAAPA website and printed materials.
  • IAAPA will provide complimentary 2009 IAAPA Attractions Expo registration to speakers.
  • IAAPA may assign a member of an IAAPA committee to speakers to serve as a liaison and resource in preparing for the event.

Additional Information for Speakers

Key Deadlines and Dates:

February 9 – Call for Proposals ends
April 13 -30 – IAAPA sends out invitations to accepted speakers and notification to those submitting Proposals which were not selected for this year.
May 1 – Deadline for speakers of selected proposal to accept their invitation and confirm their commitment to speak during the assigned time/day
May 15 – Deadline for all speakers to update personal & session details for pre-event marketing pieces and website
September 1 – Deadline for speaker & session updates for On-Site guidebook
September 15 – Deadline to submit to IAAPA electronic versions of supplemental Educational materials such as PowerPoint slides, handouts, notes, etc to be posted online for attendees to reference during and after the Expo.
October 1 – Deadline for all speakers to have full & updated contact information provided to IAAPA for Expo Badge printing
November 16-20 – Speakers present during their session of the IAAPA Attractions Expo in Las Vegas, NV!
